Booking system for websites

The customer selects the service, time slot and service provider directly on the website. The booking is added to your calendar and a confirmation is sent automatically to both parties. No separate booking system, no monthly bill for an external service — the calendar is part of the website.

Bookings are not processed via a third-party service, but are stored in the same place as your website. This means that no one else can shut down the service, raise the price or sell your customer data on to third parties.

What you get

  • A booking calendar for the website. Customers can see available slots and book themselves, even in the evenings and at weekends when you’re not answering the phone.
  • Services and durations. You specify what you’re selling and how long each service takes. The system calculates available slots accordingly, so a 45-minute service cannot be squeezed into a 30-minute slot.
  • Calendars by multiple creators. Whether there are two or five of you, each has their own calendar and the customer can choose a creator or leave the selection blank.
  • Opening hours and exceptions. Closed on public holidays, bank holidays and specific days. Closed periods are not shown as available.
  • Confirmation sent to both parties. The customer receives an email and a calendar invitation, whilst you receive a notification. A reminder can be sent the day before, if you wish.
  • Cancellation link. The customer cancels the booking themselves, and the slot becomes available for sale immediately. This is the feature that saves the most phone calls.
  • Bookings by phone. You can see the day’s availability from anywhere, and you can add a booking manually if someone calls.

Why this, rather than a ready-made booking service?

There are some good booking systems on the market, and for many people they are the right choice. They typically cost between 20 and 60 euros a month, and the price rises as the number of artists or bookings increases. Over ten years, that amounts to between 2,400 and 7,200 euros.

Another difference is the design. The ready-made service is embedded into the site as a frame, and it looks exactly as it does — with its own colours and its own font. This calendar is built using the same theme as the rest of the website, so it looks like it’s part of your business rather than a booking system.

The third difference is data. Bookings constitute customer data. When they are stored on your own server in Finland, you know who has access to them and what happens to them. It is also the simplest scenario in terms of the General Data Protection Regulation: one data processor, one country, no transfers outside the EU.

Who is this suitable for?

Hairdressers, beauty salons, massage therapists, physiotherapists, vets, car repair shops, photographers, trainers and anyone whose services are sold by the hour. Rule of thumb: if you answer several calls a week asking ‘are you free on Thursday?’, this will pay for itself in the first year.

What does the monthly fee cover?

The calendar sends emails, stores booking details and requires backups and updates. The monthly fee covers these and is included in the same invoice as website maintenance — no separate contract is required.

Can I pay for my booking in advance?

Yes. Adding a payment button is a separate task, as it requires an agreement with a payment service provider. Please let me know when placing your order if you’d like this, and I’ll quote you separately for it.

Will the booking show up in my Google Calendar?

Visible. The confirmation comes with a calendar invitation that can be accepted into any calendar. Two-way synchronisation — meaning that an entry in Google Calendar would also block the time in the booking calendar — is an additional service that must be agreed separately.

What if we already have a booking system?

Old bookings can be imported if they can be exported from your current system as a file. This is possible with most systems. Let me know which system you’re using, and I’ll check what data can be exported from it.

Does this work on a mobile phone?

It works, and that’s the most important thing: the vast majority of bookings are made by phone in the evenings. The calendar is designed with a small grid at the top, rather than simply scaling down the desktop version.
